Privacy at RoundOps

This notice explains how RoundOps handles personal information when you visit our website, open or administer a RoundOps account, contact us, or use the RoundOps service.

2. Our role when businesses use RoundOps

For information used to operate RoundOps itself — such as account administration, subscriptions, security, support and our own marketing — RoundOps acts as a data controller.

When a cleaning business uses RoundOps to manage its own customers, workers and operational records, that business generally decides why that information is used. In those circumstances RoundOps processes the information on the business's instructions, subject to the service terms and applicable data-processing arrangements.

3. Information we may process

  • Account and identity information: name, business name, email address, telephone number, login and role information.
  • Business information: services, rounds, team configuration, settings, invoices and account preferences.
  • Operational records: customer and property details, job history, notes, photographs, forms, messages and payment status entered by a RoundOps business.
  • Billing and payment information: subscription status, invoices, provider identifiers and payment status. Where payment providers are used, sensitive card or bank credentials are handled by the relevant provider rather than stored as ordinary RoundOps account data.
  • Support and communications: messages sent to us, support history and service notifications.
  • Technical and security information: IP address, device/session information, audit events, request identifiers, diagnostics and security logs.
  • Marketing preferences: channel choices and consent/opt-out records where applicable.

4. Why we use personal information

We use personal information where necessary to provide and secure the service, administer accounts and subscriptions, respond to support requests, comply with legal and accounting obligations, prevent fraud and abuse, improve reliability, and — where permitted — communicate about RoundOps.

5. Lawful bases

Depending on the activity, our lawful bases may include performance of a contract, compliance with a legal obligation, our legitimate interests in operating and protecting RoundOps, and consent where consent is required. Where we rely on legitimate interests, we consider the impact on the people concerned.

6. Who we share information with

We may use carefully selected service providers for hosting, communications, payments, mapping, banking connections, monitoring and professional services. Where enabled by a RoundOps business, integrations may include providers such as GoCardless, Stripe, messaging providers, mapping providers, banking providers and HMRC services. Providers receive only the information required for the relevant service and are subject to their own terms and privacy obligations.

We may also disclose information where required by law, to establish or defend legal rights, or as part of a properly controlled business transfer.

7. International transfers

Some suppliers may process information outside the UK. Where this happens, we use an appropriate lawful transfer mechanism or rely on an applicable adequacy arrangement and take account of the safeguards offered by the supplier.

8. How long we keep information

We keep information only for as long as needed for the purpose for which it was collected, including providing the service, maintaining security and audit history, meeting legal/accounting requirements, handling disputes and maintaining appropriately limited backups. Retention periods vary by record type and legal requirement.

9. Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to particular processing, and receive certain information in a portable form. Where processing is based on consent, you can withdraw that consent. Some rights are subject to legal conditions and exemptions.

If your information is held in RoundOps by a cleaning business, that business is normally the first point of contact for requests about its customer or worker records.
